Vigil Beta · Policy version 2026-10-30

Privacy Policy

Effective October 30, 2026

Vigil is a small, independently operated beta project based in California, United States. We want you to know what information is involved, what we can do with it, and where our current limits are.

1. Who this covers

This policy covers the Vigil Beta practice application and the public website at vigilplace.com. For questions about either, write to doulakit@vigilplace.com.

The beta is currently intended for invited participants in the United States. Invitations are controlled, but the application does not verify geographic location.

2. Information we receive

For the private app: your account name, email and account identifier; optional practice profile; clients, contacts, scheduling, visits, notes, preferences, forms, plans, legacy items, and any files you choose to upload. The app also retains your Getting Started decision and, if you agree, the version and time of your policy acknowledgment.

For the public website: beta-access request name, email, optional administrative needs, email confirmation and invitation-review status. The signup is protected by Cloudflare Turnstile, which processes technical signals to check for automated abuse.

We also receive messages you email us. No payment-card details are collected by the Vigil Beta application.

3. Why information is processed

We use account and confirmed beta-request information to review invitations, provide access, maintain your workspace, assist with requests, and protect service security. Approved invitation emails are passed to Base44 to grant access to the private application. Information you enter about the people you support is displayed and organized on your behalf, not used by the Vigil operator for advertising or independent client profiling.

The current private app does not call an AI model to process client records and does not have its own advertising or analytics integration. These observations about app code are not guarantees about every operation of the hosting platform.

4. Information about other people

You decide what you enter about clients and contacts, and must have appropriate authority or another lawful basis to do so. There is no requirement in Vigil to upload a signed consent form for every person.

Vigil is not a medical records system or secure clinical/legal vault. Please do not upload protected health information, specially regulated sensitive data, or official clinical records. Our hosting platform restricts certain categories of sensitive information without specific written arrangements that have not been established.

5. Hosting, access and sharing

Vigil runs on Base44, which provides authentication, database and private-file storage and related infrastructure. The application separates practitioner records using per-account access rules. Other practitioners should not be able to read your workspace; the Vigil operator and infrastructure provider may need access in their respective administrative or service capacities.

Base44's published Data Processing Addendum and Terms of Service contain provisions that require further clarification about the scope of the platform's rights over stored information. We cannot give an unconditional assurance about every use the hosting platform may be contractually permitted to make. We have no evidence that Base44 has trained models on Vigil's practitioner records, and we do not claim it has.

We do not sell your client records. We may disclose information when legally required, to respond to a legitimate request, or through the service providers needed to operate Vigil.

6. Files and security

Uploads are placed in private storage. The app accesses them with limited-lifetime signed links. No online system is risk-free; safeguard access to your account and keep independent copies of anything important.

Archiving hides records but does not delete them. Database records and their uploaded files are separate. We cannot yet guarantee permanent removal of original uploaded files or describe a full backup and restore service.

7. Copies, correction and removal

Within Practice → Help & Policies, you can download a JSON copy of your accessible database records. It does not include the original uploaded PDFs, photos or other files. It is a records export, not a complete backup or restore tool.

For access, correction, account closure or removal requests, email doulakit@vigilplace.com. We may need to verify that you control the account. We will explain what is technically possible and what requires platform assistance; we do not promise complete or immediate erasure.

If a client or family member contacts us about information entered by a practitioner, we generally refer the inquiry to that practitioner, except where the law requires a different response.

8. Retention and the future of beta

We presently retain app records while an account remains in use unless they are handled through a supported removal process. A proposed one-year inactivity process with a reminder about two months before closure has NOT been implemented; accounts are not automatically deleted after one year.

If the beta ends, our aim is to give advance notice and a reasonable opportunity to retrieve available information, subject to the functionality we can actually provide.

9. Email choices

The website sends confirmation messages, the Starter Kit visitors request, and invitations following approved beta-access requests. The current website's optional-marketing and automated-unsubscribe capabilities are still being refined. The operator has also previously sent Vigil-related outreach manually through Gmail.

To stop nonessential messages, email doulakit@vigilplace.com. We will honor applicable opt-out obligations. A confirmation message or requested starter kit is different from an ongoing promotional campaign. We are not representing the current website as having a fully implemented automated unsubscribe system.

10. Rights, changes and contact

Applicable privacy laws may provide rights to access, correct or remove information; the rights and response periods depend on the law that applies. Contact us and we will review a request accordingly.

We may revise this policy as Vigil evolves. Material changes will be announced appropriately. For questions about information or this policy: doulakit@vigilplace.com.
