Vigil Beta ยท Policy version 2026-10-30

User Agreement

Effective October 30, 2026

These are the terms for using the early Vigil Beta application. Please read them alongside our Privacy Policy and Beta & Data Limitations.

1. About Vigil and these terms

Vigil is a small, independent beta project operated from California, United States. Contact the operator at doulakit@vigilplace.com. The service is currently offered to invited participants in the United States.

By explicitly selecting the acknowledgment in Vigil, you agree to this User Agreement as identified by its displayed version and effective date. Merely reading the public website or requesting a starter kit does not constitute acceptance of the private application's agreement.

2. Who may use it

Vigil is intended mainly for end-of-life support and associated organizational work, but it is not limited to credentialed doulas. Users must be legally able to enter this agreement and use the service lawfully. Vigil does not currently verify professional credentials, age or geographic location.

You are responsible for maintaining your account credentials and for activity under your account. Do not share an account to bypass practitioner-specific privacy protections.

3. What Vigil provides

The beta helps manage practice profiles, contacts, scheduling, visits, notes, forms, planning conversations and legacy-related projects. Features may change, contain defects or become temporarily unavailable.

Vigil is not a healthcare provider, clinical medical-records system, emergency service, legal adviser, or legally authoritative document repository. It does not replace professional judgment, consent requirements, or proper storage of official records.

4. Your information and responsibilities

You retain your rights in information and materials you enter. You give Vigil and its infrastructure providers the permissions necessary to store, process, display and deliver the service, subject to their applicable terms and the Privacy Policy.

You must have appropriate authorization or another lawful basis before recording another person's information. You are responsible for the accuracy, legality and appropriate handling of what you enter.

5. Prohibited uses and sensitive records

Do not access someone else's account, interfere with the service, upload unlawful material, or attempt to defeat security controls.

Because of present platform restrictions, do not upload protected health information, payment-card data, or other data requiring special legal protections and contractual arrangements. Simply accepting these terms does not override those restrictions. We may reconsider the permitted scope if verified platform arrangements change.

6. Availability and independent copies

Vigil is offered on a best-effort beta basis, with no promised uptime or recovery guarantee. To the extent permitted by law, it is provided without warranties that every feature will be uninterrupted, error-free or suitable for a particular purpose.

Keep independent copies of essential documents and records. The in-app JSON export includes database records but not original uploaded attachments, and is not a complete backup.

7. Removal, closure and inactivity

Archiving is not deletion. Self-service permanent deletion and full account closure are not currently available. Request account access or removal assistance by emailing doulakit@vigilplace.com; we will explain the currently supported options and any limitations.

The planned one-year inactivity warning and deletion process is not live and should not be relied upon. Original uploaded files may remain even when a database record is removed.

8. Pricing and communications

The current beta is free. If pricing is introduced later, we will disclose its terms before any charge applies. Accepting these terms is not consent to marketing email.

We may communicate about material changes, account matters or security. Promotional communications are subject to separate permissions and applicable requirements.

9. Suspension and ending the beta

We may restrict or suspend access for unlawful use, security risks, material breaches, or platform requirements, subject to applicable law. If we discontinue the beta, our aim is to provide reasonable advance notice and an opportunity to retrieve available records.

Access may also be affected by outages or decisions of the platform provider. We do not promise permanent availability.

10. Responsibility and disputes

Nothing in these terms removes statutory rights, remedies or protections that cannot lawfully be excluded. Any questions or disputes should first be raised with doulakit@vigilplace.com so we can attempt to resolve them informally.

California law is the intended governing law to the extent permitted by applicable law. These terms do not impose a mandatory arbitration agreement or class-action waiver.

11. Changes and contact

If material terms change, we may request explicit acceptance of a newer version before continued use. Agreement acceptance is stored separately from the optional Getting Started walkthrough.

Questions about these terms or the beta may be sent to doulakit@vigilplace.com.
